What should we prepare before scoping a first automation?

Describe one task that happens repeatedly, the tools and data it uses, who reviews the result and what happens when a record is wrong. An anonymized example and rough frequency are enough for an initial conversation; do not send customer records, passwords or API keys. The first milestone should cover one bounded workflow with agreed acceptance checks, not every process at once.

What happens when a connected system is unavailable?

Failure handling belongs in the scope. Depending on the workflow, an integration may need retries with limits, duplicate detection, a record of items that could not be processed and a clear route for a person to resolve exceptions. An AI-generated summary should not silently authorize a payment, change inventory or discard a failed record. These safeguards are designed for the actual systems involved, not assumed from a demo.
